[00:00:28] Speaker B: Hey guys, good morning, this is Karla of Proximity Outsourcing and you're here at Remote Rockstars, the Proximity Outsourcing Knowledge suite. So today I will be telling you all about what it's like working with us so that when we meet in person, bump into each other or maybe if I catch you on a consult, then I would have had answered all of your questions. So Proximity Outsourcing is my outsourcing company and it is under the Proximity Solutions wing. So in this wing or in this LLC we have three brands. We have Proximity Outsourcing, our outsourcing company, we have Proximity Placements, our recruitment agency, solely doing recruitment, especially for tech and and sales roles. And then we have Proximity projects which are for one off projects such as website development, chatbot development, systems development, creatives like logos, style guides, and if you have anything or any project that you just want to be built one time and you don't have the intention of working on a long term basis, we can definitely help you at Proximity Projects. So I wanted to start off by sharing with you guys what it would look like to work with us. It's going to be very quick. I just want to really share with you our process and if you're thinking of talking to us and outsourcing a part of your business, these are the things that you need to know to about working with us. So first we start with a consult or a free consultation where you get on a call either with me if you're my friend or with one of the members of our growth team to share your situation and get advice. So in this call we will ask you about your goals, we will ask you if you've done this before, what has worked for you, what hasn't worked for you. If you want to share a little, you know, more detail on your experience, good or bad, we would love to know everything so that we have full context of your experience.
In this call you will be also asked about the success metrics or what are the three things that are super important to you that will really, really make this role successful and for it to also make sense. So the thing with most of our clients, they the first time they talk to us they always say, hey, I need a va but the more that we talk to them and the more that we ask questions about their business and their goals, we realize that they don't actually need a VA or a virtual assistant. The responsibilities and the expectations are actually more of say a project manager or a client success manager or, or sometimes it is more technical like a WordPress developer. So it is very common for people to use VA or virtual assistant as a blanket term for hiring someone overseas or for outsourcing something in your company. So no, shame on getting this thing wrong. Don't worry, that's why we're here to hold your hand. And so if it's a good fit to work together, that's the time when we will present when what it would look like to work with us. And this is what it would look like. So we spend two to three weeks for recruitment, vetting and proficiency testing. And that includes the interviews on our end if it is a task or a role that needs to be tested in terms of knowledge of a specific software or knowledge of creative potency. So for example, if you're hiring a graphic designer or, or if you're hiring a copywriter or a content writer, we will test them and give them the brand elements and then give them an actual task and a test task before they get to apply. So we get to facilitate all of that. We will also do background checks, we will also vet them and of course do interviews on our end if there are any special requests from the client.
For example, if you require a specific behavior or a personality test, some of the most common ones are DISC Big five and the Myers Briggs Personality test. We can also deploy those tests upon request. And so that whole process takes two to three weeks and you will be assigned your client success manager. So this client success manager is your best friend and your advocate in the company from day one. So they will be there on the call, on the console call with you and they will also be the one handling your account and making sure you have a really good experience.
So by the end of the second week, your CSM will be contacting you to book your interview time wherein you will be interviewing the top three candidates and you will be choosing if you'll interview them for.
[00:05:45] Speaker B: Three different days or if you only want to do one day back to back interviews. So it's up to you, your CSM will only organize that. So after you've chosen one, one candidate, so you will be working with that person, we will give you up to five business days to onboard that person or to start with their day one so if you go over five business days, then unfortunately your plan will be void. And the reason why we do this is that we don't want the remote professional or the RP to be waiting around for a job or for you to also not be fully ready of the expectations of signing up for a subscription. So after that you cho you've chosen someone, you sign up for a subscription. The rates for our subscription varies a lot. It can start at $995 for part time, 20 hours a week for an assistant type role, and as high as $2,495 for full time for a high level role such as an operations manager. And so this is what it would look like timeline wise. So after that initial consult, you'll get an action plan of what a sample job description will look like if you greenlight the process and the deal. Basically, you pay the initial invoice of $995 that covers the recruitment and onboarding. And you will be also given a 90 day scorecard to use so that we can really measure how well your remote professional is working. And so on an ongoing basis, you really get to work with your CSM or your client success manager. And if there are any, you know, feedback, any concerns, all you need to do is just tell them you have direct access to them through our client, Success Slack and they will even get your number and of course test how open you are with communication and how you know basically how high or low maintenance are you as a client. So either way there's no shame. You can be a high maintenance client or a high touch client or low maintenance client. Like I'm okay with not talking a lot, just tell your CSM because they will be working based on what success looks like for you in general. And so what do we do in terms of taking care of worst case scenarios? So first, worst case scenario is you don't like the top three candidates that we sent you. What happens is that you can request a rehire. So hey Carla, I kind of don't like the candidates you guys sent. I would love to see if there are others. We will spend another two weeks to search for you and then schedule the next batch of interviews. Now, if you really didn't like them and you've lost faith in us, we have a full guarantee on our recruitment and onboarding and you are entitled for a hundred percent refund. Now, it doesn't matter how much work we put into making this happen, we definitely put a lot of labor and heart into it. But what really matters to us is that you have a good experience with us. And so, yes, you're entitled for a full refund. So I would say that's the worst case scenario. You get your money back and we've given you our best and then we stay friends.
And what if your subscription already started? What if I had a bad experience? What are we going to do? So there's many ways to go about it. The important thing here is that you really, really talk to your CSM if there are any issues that come up. Because the first 30 to 90 days with a remote professional that's new to your company is expected to be a little bit wonky because, because you guys are getting to know each other. You're getting to know your cadence, your communication style, your leadership style. They're getting to know your systems. You're probably still training them on some stuff. So the tendency is that there may be some stuff that they could miss or some expectations that are not met. And so what you do is that you just give them feedback or give the CSM feedback as well and get advice from your csm. Now the worst case scenario is we have to terminate them.
And when that happens, we will pause your subscription and we will prioritize you for a rehire. The good thing about this is because your CSM has documented your previous hire, the time that we will spend will definitely be way less. And you will also be given a two week credit on your new plan due just to really make sure that you're happy. And of course, as a gift of goodwill to you for trusting us and continuing to trust us. So yeah, that's what it would look like working together.
